IRB Frequently Asked Questions
- Where do I go to start an application?

I need to add a team member to the application but it’s not working.
Most likely the OSU researcher you want to add does not yet have a OneAegis account. This person will need to simply log in to OneAegis with their OKEY credentials, and an account will automatically be created. Once they have done this, you should be able to add them to the application.

Can other team members work on the application?
Yes, in the very top header of the application screen (to the right of the OSU logo), there is a Collaborators link. Here you can add a team member and what type of access rights they can have to the application. Once you do this, your collaborator will receive an email notification.

What training do I need to complete for my study?
The IRB application is a “smart” form, where it will automatically populate the training required for the project based on selections made within the application. There is no “one covers all” aspect when it comes to IRB training. Some projects will have multiple trainings to complete due to the diversity of the study, whereas others may only need a few.
The "training verification" portion at the end of the IRB application will clearly state, by name, the exact courses that are required prior to submitting your application. All training is done through the CITI system and you can find additional information here: Training and Education.

Why is my CITI training still showing as missing/expired on the application even though I know it’s been completed?
All CITI training is updated within our system nightly. If you completed a CITI training today, it should show as completed on your application tomorrow. Please also ensure that your CITI account is affiliated to OSU and your primary email for CITI is your OSU email address. Proper syncing of information between the systems will only occur if these are both true. You may need to review and update your CITI profile.

How long will it take for my application to be reviewed and approved?
Upon the IRB Office receiving your application, you should receive initial review feedback and/or revision requests within 1-3 business days. The timing then depends on the submitter and how quickly revisions are submitted. The submission/revision cycle may take a couple of rounds until the application is deemed ready for official review. Where can I find my approval letter and/or stamped documents?
- In OneAegis, click into the specific study.
- Scroll down to “Events” – Click on Initial Submission (or an applicable modification event)
- On the left-hand side under Actions – Click on Attachments
- Attachments (#): where you will find your stamped attachments
- Generated Docs (#): where you will find your approval letter
- Click on the document you wish to open, and it should automatically download

Can I obtain a copy of my study protocol after it has been approved?
- In OneAegis, click into the specific study.
- Scroll down to “Events” – Click on Initial Submission
- On the left-hand side under Actions – Click on View xForms
- Your application will be listed. You can open it and either:
- Go to your browser settings to print a copy or print to PDF, or
- Scroll down to the very bottom of the application and click the ‘More’ button and then select ‘View as PDF’. This will download a pdf file copy of the application.

How do I make changes to my approved study protocol?
- Submit a modification request form by going into the study you wish to modify in OneAegis
- On the lefthand side, under Actions, select ‘Start xForm’
- Select IRB Modification Request Form. *Note- If you do not see this form as an option, then you are on your OneAegis homepage and not inside the study you need to modify.

How do I later request a sample list of OSU email addresses to recruit for my study?
- In OneAegis, click into the specific study.
- On the lefthand side, under Actions, select ‘Start xForm’
- Select Request of OSU Email Addresses. *Note- If you do not see this form as an option, then you are on your OneAegis homepage and not inside the study
Your request will be reviewed by the IRB office to ensure is it in alignment with your approved application. Once approved, the request will go to the Institutional Research and Analytics (IRA) Office, who is responsible for providing email lists to the requestor. If your study is not approved for emails as a recruitment method, a modification will need to be made first.

My study is complete; how do I close my protocol?
- In OneAegis, click into the specific study.
- On the lefthand side, under Actions, select ‘Start xForm’
- Select IRB Closure Form. *Note- If you do not see this form as an option, then you are on your OneAegis homepage and not inside the study you need to close.
